Contribute to SEIMA
Submitting your work to SEIMA is a simple way of preserving your teaching materials and making them available to other educators both on and off campus. SEIMA primarily accepts materials developed by UBC-based contributors, including materials created by faculty, staff, and teaching assistants. In some cases, materials developed by others may be accepted if they are closely associated with UBC. All authors for an item must be listed upon submission.
We recognize that some information may be sensitive to public view (e.g. exams currently being used); therefore, we offer options to manage access to your content to meet these needs. Please read more (below) under “restricted access to select materials”.
Instructions for Contributors
Contributors can upload their submissions using the submission tab on the main page or within a community (field of science) or collection (course). The submission process require users to indicate a license under which they are making their content available. To promote the dissemination of open educational resources, SEIMA encourages users to consider a Creative Commons license where appropriate. Additional information about licensing is available under the Copyright and Licensing section of this website, and license selection is included as part of the submission process. It is expected that all submissions are compliant with copyright regulations and privacy policies set out by UBC. All submissions will go through a verification step before being posted to the repository. This is for administrative purposes only; items are not peer-reviewed as part of the submission process for SEIMA.
Submission Guidelines
• All submissions must be made by, or with the express consent of, the author(s) of the materials.
• Uploading of materials, descriptions of those materials, and assigning licenses must be completed during the submission phase.
• If a submission consists of a set of files that should be presented under one heading, all files must be submitted at the same time.
• All materials must be submitted in digital form. Preferred file extensions for the most common types of objects are listed in the below. Note that SEIMA may still accept materials that are presented in format types outside of the list provided below.
Audio: .mp3, .mpa, .wav, .wma, .ac3, .aif
Compressed file: .zip Data: .csv
Document: .pdf, .txt, .doc, .docx, .ppt, .pptx, .xls, .xlsx Image: .jpg, .jpeg, .gif, .tiff, .bmp, .png
Video: .wmv, .mpg, .mov, .mp4, .avi, .flv, .mkv
Additional submission tips:
• When submitting your work, please assign an appropriate title. It should be concise but also descriptive so that others know what they are looking at and whether it matches their needs.
• Correctly entering metadata (data about your files) during the submission phase is important since it will help others find your work. We have limited the number of required fields users have to enter as much as possible.
• Make sure your work is ready for public view before submission: accept track changes, remove any student identifiers, and save in one of the preferred file formats.
• If your submission contains multiple files, have them all ready at the time of submission.
• Review copyright and licensing information.

Restricted Access to Select Materials
A contributor may request that a submission be given restricted access if they do not want it to be view-able to the public. Such items are listed as "restricted" under the access heading. This may arise if, for example, an item contains assessments that are currently in use. Such requests should be made at the time of submission. These materials should NOT be assigned a creative commons license. They will be made available to select users (those permitted to have full access, e.g. instructors) under UBC Policy 81. Assigning “open” or “restricted” access to an item is done by the user during submission data entry.
SEIMA reserves the right to withdraw items from the repository or change viewing access rights either temporarily or permanently for any reason including, but not limited to, copyright infringement, dispute of authorship, violation of privacy of an individual, or any other inaccurate representations of the item as outlined in the license agreement. If an item is withdrawn from the repository, all reasonable steps to notify the author(s) of this action will be taken by SEIMA.
